Tips for Live Remote Invigilation with Zoom or Teams

Introduction

With the move to remote delivery, many instructors are considering their options for promoting academic integrity, including options for live remote invigilation. Remote invigilation should not be considered 100% effective in preventing academic misconduct. Regardless of the technology chosen, any use of technology to support academic integrity should be accompanied by reminders of the Institution’s academic integrity policies.

The use of Zoom or Teams for remote invigilation, while possible, should be approached with caution. This page presents the limitations of both tools as well as recommended best practices if remote invigilation by means of these tools is deemed necessary.


Limitations of Remote Invigilation with Zoom or Teams

1. Students and invigilators require a stable Internet connection with sufficient bandwidth to support the streaming and viewing of camera feeds. This may be a limiting factor for those with slower Internet connections.

2. Unlike professional proctoring software (i.e., Respondus Monitor), remote invigilation with Zoom or Teams does not facilitate the capture of student audio when more than one student is present. Invigilation is solely based on video.

3. Remote invigilation with Zoom or Teams does not easily facilitate students showing their environments prior to the start of the exam, akin to the environment scan in Respondus Monitor.

4. Virtual backgrounds cannot be disabled by the meeting host in either tool. Instructors should be aware that a student can potentially produce looping video backgrounds or looping gifs where they appear to be present.

5. Like other remote invigilation options (i.e., Respondus Monitor), students may have concerns about their privacy. Students should have sufficient warning before an invigilated assessment to find/prepare a space for writing or reach out to their instructor with their concerns.


Best Practices for Remote Invigilation with Zoom or Teams

1. Zoom or Teams should only be considered as a live remote invigilation tool for small courses. Both Zoom and Teams support up to 49 camera feeds on one page. While a single invigilator may be able to view this many videos at one time, this may have a negative impact on video quality due to high bandwidth requirements, and it may be challenging to adequately monitor all students. A lower ratio (i.e., 25:1 or less) may be more practical.

2. If you choose to use Zoom or Teams for remote invigilation, this should be clearly stated in the course outline. Please see the following sample course statement:

  • This course requires the use of [Zoom/Teams] for live proctoring of course exams. You must download and install [Zoom/Teams] to complete the practice test (if provided) and course exam(s). The purpose of the practice test is to ensure that [Zoom/Teams] is set up properly and that you are comfortable using the software.
  • [Zoom/Teams] is a video conferencing platform that can allow instructional teams to monitor academic integrity during online exams. The platform allows for instructor and/or TA review of live video during the examination.
  • In order to use [Zoom/Teams], you must meet the technical requirements. Visit our Technical Considerations page for guidance on preparing your online exam environment.
  • Prior to your examination, you should ensure that you are running the most up-to-date version of [Zoom/Teams].
  • If you have any concerns about meeting system requirements, contact CourseLink Support. They will work with you to find alternative solutions or make alternative arrangements.

3. Instructors should consider running a short practice test. This allows students to verify that they can run Zoom/Teams and access their online assessment successfully. Practice tests can also help to reduce testing anxiety that can increase with remote invigilation.

4. Students and invigilators should check they are running the most up-to-date versions of the software prior to the examination.

5. Provide additional time for exam setup. This will allow for ID checks to occur before the exam has opened.

6. Students can be asked to show their University of Guelph/Guelph-Humber ID to verify their identity when it is a one-on-one situation; but for privacy, it is not possible to verify ID’s in a group. The ID verification process should not be recorded to maintain student privacy.

7. For an examination that includes multiple invigilators, consider the use of breakout rooms to ensure all students are monitored equally. (Note: The use of breakout rooms is not an option for the Respondus Lockdown Browser Live Proctoring feature.)

8. For Zoom, disable additional features, such a private chat among participants (students), meeting reactions, etc. Students are still able to correspond via private chat with the meeting host and co-host to ask questions. Microsoft Teams does not allow for the chat to be disabled in meetings.

9. In certain cases, it may be necessary to focus on an individual student for a short period of time. This can be achieved by pinning an individual video. This should only be done momentarily as other students will not be monitored at this time. This feature may also be used by a student to pin the video of the invigilator to minimize distractions.

10. Zoom and Teams should only be used for live proctoring of exams. Recording should not take place during exams to maintain student privacy.


Live Remote Invigilation of CourseLink Quizzes with Respondus LockDown Browser 

Respondus LockDown Browser is a custom browser that locks down a quiz within CourseLink. When students use LockDown Browser with a CourseLink quiz, they are unable to print, copy, go to other websites, access other applications, or close the test until it is submitted for grading. Tests created for use with LockDown Browser cannot be accessed with standard browsers, either. 

The Live Proctoring feature works with the existing Respondus Lockdown Browser integration for CourseLink’s Quizzes tool to leverage a video conferencing system (Zoom, Microsoft Teams, etc.) to allow an instructor to proctor students in real-time during an online exam. 

When LockDown Browser is used with Instructor Live Proctoring, the instructor watches students remotely during an online test. This feature requires the use of a video conference system such as Zoom or MS Teams and is intended for small classes where the instructor can view all students on the screen at once. 

The instructor and students meet in the video conferencing application at a specified time. When ready, the instructor provides students a start code for the online exam—students start LockDown Browser from there. The instructor can then watch students via the video conference system for the duration of the exam. Note that Instructor Live Proctoring does NOT record the student video, nor does it alert the instructor to suspicious events. These features are only available with Respondus Monitor.

How to Conduct Live Remote Invigilation with CourseLink Quizzes using LockDown Browser 

1. Provide students the instructions for downloading and installing LockDown Browser (the link to download the browser will also be provided via the Quiz in CourseLink). 

2. Convey to students, in advance, that LockDown Browser and a video conferencing system will be used with online exams. (Important: Schedule a practice exam so everything can be tried in advance to a real exam.) 

3. Once the quiz/exam has been created, locate the LockDown Browser Dashboard on the Quizzes section in CourseLink, select Require LockDown Browser for this exam select Allow live proctoring for this exam… and then supply a Start Code (which prevents students from starting the exam early).

4. Use your normal process to create a meeting for the video conferencing system (Zoom, Teams, etc.). Distribute the meeting link to students prior to the exam. 

5. At the scheduled time, confirm you can see and hear all students in the video conferencing system. When ready, provide the start code to students to commence the exam. 

6. Remind students the video conference will continue to run in the background, enabling you to see and hear them during the exam; however, they will NOT be able to access the video conferencing system during the exam. 

Note: An iPad doesn’t allow you to run a video conferencing app and LockDown Browser at the same time. Consider these alternatives:

  • Have the student use a different device altogether (Windows, Mac, Chromebook)
  • Have the student use a second device for the video conferencing
